PREPARING XC MEET RESULTS WITH RACETAB

If you’re using Hy-Tek or Raceberry Jam to manage your meets and prepare & distribute results, keep using it.  Just download and distribute those in Flat HTML format.  If you are typing results into a Word document, spreadsheet, etc. (and computing team scores manually), with printouts not attractive and results not readily uploadable to websites or compilable to athlete, team, conference, division, and state statistics and rankings, use RaceTab.

RaceTab is FREE T&F/XC/RR management software offered by MileSplit to make your meet operations and results preparation more efficient and effective.  Since most schools hosting XC meets this fall have meet management procedures in place, for now we’ll address only how to download and use RaceTab to manually enter, and automatically process and distribute your XC meet results.

(RaceTab works only on PC’s, not MAC’s.)

A.  TO DOWNLOAD RACETAB:
1.  Open IOWATFXC.COM.
2.  Click on Resources > RaceTab Manager to go to the RaceTab.org website.
3.  Under Main Page, click on Download RaceTab.
4.  Under Down Load, click on Version 3.053 (this version is easiest to use for manually entering or converting results).
5.  Depending on your browser, either double-click on racetab-3.053.exe, or under “Do you want to run or save this file?”, click on Run.  If you get a security warning from your virus-protector, first click on “yes, it’s safe” or something similar.
6.  Within Licenser Agreement, click on I Agree.
7.  Within Installation Options, keep all selected and click on Next.
8.  Accept the default Destination Folder, click Install.
9.  After the installation is complete, click Close.
10.  RaceTab is installed, and a RaceTab icon placed on your desktop.


B.  TO USE RACETAB TO MANUALLY ENTER, AND AUTOMATICALLY PROCESS AND DISTRIBUTE YOUR MEET RESULTS:

1.  Double-click on the R3 icon on your desktop to open RaceTab.

2.  The first time you go to RaceTab you must submit your profile information.  After that, if you’re taken to the RaceTab Update Available page, click on Continue Without Updating.  Then you’ll be taken to the Blank Meet/Import Meet page.

3.  If your meet is already on the IOWATFXC.COM Calendar, click on the Milesplit icon under Import Meet.  If your meet is not on the Calendar, email the meet information to lknudson@milesplit.us, wait until your meet is placed on the Calendar, and then start over.

4.  On the Download Meet from MileSplit page, select the date of the meet, state (if not already Iowa), and click on your meet and  Next.

5.  Under Download Meet from Milesplit (which allows you to import previously entered information for the meet -  divisions, events, teams, entries, and rosters), just click on Finish (and wait for the Setup tab and corresponding page to appear).

6.  Under the Setup tab -  Review all included information.  Do not change the Meet Information.  If incorrect, contact lknudson@milesplit.us to provide corrected information, and to have that corrected information placed with your meet on the Calendar, before proceeding.  Under Scoring and Timing options, select appropriate options if not correct.  Click on the Divisions tab under Setup.  Add any divisions that you want that are not included (e.g., Varsity, JV, MS); don’t add divisions for genders -  girls, boys, etc.

7.  The Teams and Athletes tabs allow you to enter the participating teams and athletes in advance of the meet; but you don’t have to do that if you’re just going to be entering results manually.  But if you insist:
7A.  Under the Team tab -  Add all teams participating in the meet.  To add each team, click on +, then enter team Name (consistent with IHSAA/IGHSAU/MileSplit team names) and a short unique abbreviation (e.g., “Wash” for “Washington”).
7B.  Under the Athletes tab -  In cross country, where each athlete runs only one event, you may add athletes directly under Events; and therefore do not have to add athletes under Athletes.

8.  Click on the Events tab.  Under the Events tab -  under Events, click on the +.  In order, select the Division, Gender, and Event.  If more than one Event, click Save and New.  When finished creating events, click on Save and Close.  Your events will appear under Events under the Events tab.

9.  To enter results for each event -  click on the event under Events in the left column, and enter under the event in the right column for each finisher:
a.  bib #  -  not needed; include only if runners wore numbered bibs and race photos were taken, to help identify runners in the photos
b.  Athlete -  click under Athlete, enter first & last names either as “Jane Doe” or “Doe, Jane” (RaceTab will automatically convert “Jane Doe” to “Doe, Jane”).  If you have no name for a place/time, leave Athlete blank.  Tab to Team.
c.  Team -  enter the team name; after you’ve entered the same team name for a prior finisher, RaceTab will assist you.  Tab to Time.
d.  Place -  don’t include; will be calculated automatically later from entered times.
e.  Time -  a time of “12:34.56” may be entered as “12:34.56” or “123456”.  RaceTab will convert “123456” to “12:34.56”.  However, if you just enter 1234, that will be converted to 12.34; so enter full 6 digits for proper conversion.  Tab to next athlete/finisher.
f.  If you omit an athlete, just add at any time with the correct time.  RaceTab will put in proper place according to times.

10.  When all finishers are entered for the event, click on Score to assign individual places and automatically compute team scores.

11.  When results are entered for all Events, click on Results to see results, or Team Scores to see only team scores.  Review and check for entry errors.  If errors, go back and correct under the respective event, and Rescore.

12.  Under the Publish tab -  Click on Complete Results (columns) to See, Save As, Copy/Paste and/or Print your results. 

13.  If distributing your results electronically, save as HTML, and email the HTML file.  If you’re going to post on a website, simply copy your results from Publish, and paste to your site.  DO NOT copy and paste to a document (e.g., Word, PDF) and distribute that document file.  DO NOT print out, scan-in, and distribute a photo of your results.
